A native suite — not a stitched stack

Native signatures, secure sharing, and an audit trail that survives any regulator.

Most document platforms give you storage. NexDok gives you the complete document lifecycle — including legally-binding e-signatures via the integrated SignDok module, secure external sharing, real-time event webhooks, an operational console, and a tamper-evident audit log. One platform. One contract. One audit trail.

✓ One contract
✓ One security boundary
✓ One audit trail
✓ Built by the same team

The integrated stack

Four products. One platform. Native end-to-end.

Storage is where it starts. Most “document platforms” force you to buy the rest elsewhere — and live with the seams. NexDok ships every layer, native, with a single security boundary.

✍️

SignDok

Legally-binding e-signatures built by the same team — not an OEM partner. ESIGN Act and EU eIDAS compliant.

  • Internal & external signers — no account needed for externals
  • Parallel or sequential signing
  • Tamper-evident signing certificate embedded in the final PDF
  • The signed PDF lands back in NexDok as a new version, automatically
🔐

Secure Sharing

Distribute documents externally without giving up control. Email attachments are how documents leak — links you control are how they don’t.

  • Per-recipient unique links bound to identity
  • Optional passcode (4–8 digits, out-of-band)
  • Mandatory expiration · per-recipient watermark
  • Live access log: who viewed, who downloaded, from where
🔔

Webhooks

Production-grade real-time event stream. 27+ event types covering the whole lifecycle. HMAC-signed, retryable, replayable.

  • Documents · Versions · Approvals · Signatures · Shares · Members
  • HMAC-SHA256 signed · idempotency-key dedupe
  • 7-attempt exponential retry · full delivery log
  • Replay any delivery from the Operations Console
📡

Operations Console & Audit

A dedicated admin app for the people responsible for keeping integrations healthy — plus a tamper-evident audit log designed for regulators.

  • Live signing, sharing, and webhook delivery dashboards
  • Replay, retry, cancel, and remind in two clicks
  • Cryptographically signed audit exports (CSV · JSON · PDF)
  • Default 7-year retention on Enterprise (configurable)

How it works togetherwith

From “send for signature” to “fully signed in your archive” — without leaving NexDok.

The bridge between NexDok and SignDok is bidirectional and event-driven. You see one workflow; the platform handles the orchestration.

  1. 1

    Send for signature

From any document, pick the version, add signers (internal or external), choose parallel or sequential order, set deadlines and reminders. Under 60 seconds.

  2. 2

Signers act on a branded portal

Each signer gets a unique link to a portal carrying your logo, colors, and display name. They read the doc, sign by typing, drawing, or uploading — done.

  3. 3

Real-time status, in NexDok and on your stack

Each signer event (notified, viewed, signed, rejected) updates the document timeline instantly — and fires a webhook to your CRM, ERP, Slack, or AI agent.

  4. 4

    Tamper-evident PDF, embedded certificate

SignDok finalizes a signed PDF with every signer’s evidence and a cryptographic signing certificate. No third-party hand-off. No race conditions.

  5. 5

    Auto-imported as a new version

The signed PDF lands back in NexDok as a labeled new version of the original document. Searchable, downloadable, audit-logged. Your contract and its evidence live in the same place.

Secure sharing

Beyond email attachments. Beyond “we have a share link.”

When you share a document externally through NexDok, the recipient gets a controlled link — not a copy in their inbox. You stay in control of who, how, when, and with what visibility.

👥

Who can access

Per-recipient unique links bound to email. Forwarding doesn’t grant access.

🪟

How they can access

Preview only · download enabled · or download with per-recipient watermark.

When they can access

Mandatory expiration date. Configurable up to 90 days. Extendable on the fly.

🔑

With what protection

Optional passcode out-of-band. Three wrong attempts lock the link until reset.

Real-time event stream

27+ events. Production-grade webhooks. One integration, fed forever.

A contract is signed → your CRM updates the deal in two seconds, not at the next nightly sync. A confidential share is downloaded → your security tool surfaces it for review. NexDok pushes; your stack reacts.

12Document lifecycle
5Signing events
5Sharing events
3Approval events
2+Member events
Retry attempts with exponential backoff

HMAC-SHA256 signatures · idempotency keys · custom HTTP headers · selective subscription · full delivery log with replay. Typical first integration: 1–2 hours.

Compliance ready

Evidence infrastructure for the audits you can’t predict.

Immutable audit · cryptographically signed exports · controlled retention · one timeline per document. Built for the moment a regulator shows up.

In the wild

Two of the dozens of patterns customers run on this stack.

Closed-Won → Onboarded in 4 hours

Contract closed in your CRM

HubSpot deal flips to Closed-Won. Middleware creates the contract record in NexDok, uploads the generated PDF, and triggers signing in sequential order: CEO, then customer. SignDok finalizes the signed PDF and pushes it back as a new version. NexDok webhook fires document.signing_completed → your provisioning system kicks off customer onboarding automatically.

Outcome. Median deal-to-onboard time drops from 4 days to 4 hours. Zero manual handoffs.

SOP rollout · Joint Commission ready

Healthcare SOP rollout

Quality drafts a new clinical SOP in NexDok’s editor and submits for approval — Department Chair → Quality Director → CMO. CMO approval triggers publish. Webhook fires to your LMS, which assigns acknowledgement to every affected clinician. SignDok collects the acknowledgements; signed records are tied to each clinician’s identity.

Outcome. The Joint Commission asks for evidence — Compliance pulls a single report instead of unboxing a binder.

Four products in one platform.
One contract. One audit trail.

That’s NexDok + SignDok. Built by a team that has worked in regulated environments and knew “we have features” and “the features survive a real audit” are not the same thing.
